What personal data we collect and why we collect it

Contact Form

The following information is collected on email receipt of a completed online contact form –

Name, Email Address, Telephone (optional), Comments (which may or may not include personal information).

Digital images captured by camera equipment during an event.

Email

General communication via email.

Customer email addresses for purchase receipts.

Customer Name, Address and image purchase information as part of a sales report from our third party online gallery provider.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Analytics

We use Google Analytics for tracking of web page request statistics, but this information does not include any personal data.

How we use personal information

Information collected from you is used to provide goods and services to you.

  1. Storing of names, addresses and contact details to communicate with you on an event you are organising.
  2. Communicating with you regarding the purchase of goods or services
  3. Payment information by way of email address or mobile phone numbers for sending receipts by email or SMS (via the PayPal service).
  4. Storing of digital images of you at an event to provide goods for you to purchase.

We do not complete any unsolicited marketing campaigns with email lists.

Event organisers can select to have images from an event uploaded to a third party online website (Zenfolio) for post-event viewing and ordering.  Viewing, ordering details and viewing are controlled by the third party.

Who we share your data with

We will treat personal data confidentially, and will not share personal data with any third parties outside of normal business operations of securing payments for our products (via PayPal) and online ordering (Zenfolio).

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

Personal information is kept no longer than absolutely necessary, and no longer than 7 years from time of capture.

Digital images may be kept indefinately for the purposes of copyright control and future sales with customers.

Legal basis for processing personal data

We process your personal data based on the condition of consent.  Our attendance at an event is by invitation and the capture of digital images is voluntary and requires guests to actively ask for an image to be taken.

A person can request for an image to be deleted at time of capture, or at anytime afterwards by emailing privacy@event-pics.co.uk .  This also applies to any contact information we may hold of you.

What rights you have over your data

Under the GDPR, we respect the rights of data subjects to access and control their personal data.

Individuals can exercise their rights by emailing privacy@event-pics.co.uk.  We aim to respond to all requests with 14 days and exercise any valid requests within 28 days.

Visitor comments may be checked through an automated spam detection service.

How we protect your data

We use an appropriate set of IT security controls to secure personal data against unauthorised access and data loss.  Access to personal data is restricted to authorised employees, and full training is given as appropriate.  Regular review are completed to ensure compliance with our policy.

What third parties we receive data from

We receive sales reports from Zenfolio including individual delivery addresses and contact information.

We receive sales reports from PayPal including individual email addresses and/or mobile phone numbers (for SMS receipts).
